Executive Assistant to COO

We are looking for a strong coordinator with a can-do attitude, someone who thrives in a fast-paced environment, takes accountability, and has a keen business sense. The ideal candidate will be able to handle all aspects of coordination, including travel arrangements, managing expenses and organizing events, among other responsibilities.
Responsibilities
- Executive & Personal Support: Provide comprehensive assistance to the COO, including calendar management, coordinating personal and business-related tasks, and handling ad-hoc requests.
- Team & Office Assistance: Partially support the Cyprus-based team with document processing, minor office tasks, and occasional office-related requests.
- Travel & Visa Coordination: Handle all aspects of travel and visa arrangements for the COO, ensuring seamless travel logistics and documentation.
- Document Coordination: Manage, organize, and coordinate crucial documents for the COO, ensuring accuracy and timely preparation.
- Strategic Session & Event Coordination: Plan and arrange strategic sessions, draft communications, finalize dates, and manage logistics for COO-led events.
- Ad-hoc Requests: Handle various on-demand tasks, such as tracking birthdays and special occasions for colleagues and the COO’s family, arranging gifts and preparing celebration cards.
Requirements
- A commitment to full-time availability, seamlessly aligning with the COO’s schedule (1:00 PM - 9:00 PM Nicosia time).
- A strong track record of success in administrative roles, demonstrating reliability and professionalism.
- Advanced English proficiency (C1 level or higher) to excel in communication and collaboration.
- An exceptional eye for detail, with a meticulous and methodical approach to tasks and problem-solving.
- The ability to self-manage and prioritize tasks independently, ensuring efficient workflow.
- Proficiency in Excel analytics, including pivot tables and lookup functions, as well as experience utilizing tools like ChatGPT.
- Knowledge or experience with document management systems, which is a valuable asset.
