Responsibilities

Operational & Administrative Support:

  • Assist the administrative team and executives with ad hoc tasks and special initiatives.
  • Manage and maintain operational tools, such as the company knowledge base and ERP systems.
  • Oversee paperwork flows and documentation, including vendor and bank forms, rental agreements, and similar.
  • Identify and implement opportunities for process optimization and efficiency improvements.
  • Serve as a liaison between HR, Finance, Operations, and other internal departments to ensure seamless communication.

Business Travel & Event Coordination:

  • Helping plan business travel itineraries and team meetings/offsites (primarily Europe and Central Asia).
  • Book airfare and accommodations.
  • Conduct venue research and manage reservations for company events.
  • Provide scheduling and logistical support for internal and external events.

Onboarding Assistance & Equipment Management:

  • Support onboarding by setting up email signatures, coordinating access lists, and assisting department heads.
  • Manage corporate equipment inventory (procurement, deliveries, returns) and coordinate technology-related needs with IT.

Belgrade Office Coordination:

  • Assist the Serbia-based team on-site with various ad hoc needs, including equipment orders and attendance tracking.
  • Act as a primary contact for coworking space/reception coordination.

Requirements

  • Based in Serbia or willing to relocate
  • Fluent English, spoken and written (C2)
  • Google Workspace (Drive, Calendar, Gmail, etc.) proficiency
  • Microsoft Office (Excel, PowerPoint, Word) proficiency
  • 1-2 years' worth of experience in a similar role
  • Go-getter attitude
  • Time management and problem-solving skills
  • Responsible, capable of executing tasks independently
